Four systems that do not talk
A restaurant that grows usually ends up with a billing machine, a WhatsApp group for the kitchen, a notebook for stock and a spreadsheet for salaries. Each was the right answer on the day it was adopted.
The cost is not any one of them. It is that the same fact has to be entered in several places and then reconciled. A dish sold exists in billing but not in stock. A waiter who left is removed from the rota but still has a login. The month's salary is calculated from attendance somebody has to remember to write down.
Every reconciliation is a place to be wrong, and they all get done last thing at night by whoever is left.
How running the whole restaurant on one system works
The point is not that Scan2Plate has these features. It is that they share one set of records.
- The menu is defined once. Guests read it through QR ordering, staff bill from it on the POS, and reports name the same items. There is no second menu to keep in step.
- An order flows through without re-entry. Placed at a table or a counter, cooked from the kitchen screen, settled on a numbered bill, counted in the day's totals. Entered once.
- Stock and sales meet. Purchases scanned from supplier bills sit alongside what sold, which is where food cost becomes a number rather than an instinct.
- Staff get accounts, not shared logins. Each member has their own login and role, so what someone can see and do is set by who they are rather than by which device they are standing at.
- Attendance feeds payroll. Days worked, advances taken and salary are held against the same staff record, so the month is calculated rather than reconstructed.
The staff side, which usually lives in a notebook
Billing software is bought for billing. Staff administration is the part that quietly consumes an owner's evenings, and it is included here.
Every staff member has an account with a role, so a waiter sees what a waiter needs and not the day's takings. When somebody leaves, their access ends without anyone changing a shared password.
Attendance is recorded against the same staff record, and salary and advances are held there too. A payroll month is therefore assembled from what was recorded as it happened, rather than from memory and a notebook at month end. Staff who have left stay in past records, because last year's salary history does not stop mattering when somebody resigns.

Who this suits, and who it does not
It suits you if you run one restaurant, or a few run by the people who own them, and you are currently reconciling between a billing machine, a notebook and a spreadsheet.
It suits you less if you need head-office control across many branches — one menu pushed to twenty outlets, consolidated reporting, centrally managed staff. Each Scan2Plate restaurant runs its own menu, numbering and records. That independence is deliberate and it is the wrong answer for a chain.
Questions restaurant owners ask about running one system
Do I have to adopt everything at once?
No, and most restaurants do not. Billing and the menu are usually first, because they replace something immediately. Inventory and staff records tend to follow once the daily flow is settled. Everything is available from day one at the same price, so the order is yours to choose.
Can staff have different levels of access?
Yes. Each staff member gets their own login with a role, so a waiter taking orders does not see the day's takings or settings. Individual accounts also mean access ends when somebody leaves, rather than requiring a shared password to be changed for everyone.
What happens to records for staff who leave?
They are kept. A staff member who has left is separated from current staff so rotas and payroll show the right people, but their past attendance and salary records remain readable. Deleting history when somebody resigns is how last year's accounts become unanswerable.
Does it work for a second branch?
Each branch runs as its own restaurant with its own subscription, menu, staff and bill numbering. That keeps records properly separate, which is right for independently run outlets. It is not centralised multi-branch control, and a chain needing that should look elsewhere.
