Most restaurants know their takings and nothing else

Ask an owner what the restaurant made yesterday and most can answer. Ask which dish earned the most, or how much of it came through UPI rather than cash, and the answer usually needs a evening with a calculator.

That gap is expensive. A dish that sells well and costs little is the one to push; a dish that sells constantly at a thin margin is quietly funding nothing. Without item-level numbers both look identical on a day's total.

The other blind spot is the payment mix. Cash and UPI arriving in different proportions than you assumed is how a shortfall goes unnoticed for weeks.

How reading your day's sales works

  1. Reports build themselves from bills. Every settled bill contributes as it closes, so nothing is entered a second time for reporting.
  2. Pick the period. A single day, a month, or a custom date range for a festival week or a comparison against the same week last month.
  3. Read the totals. What came in, across how many bills, and the average bill value that falls out of those two.
  4. Look at what sold. Best-selling items by quantity, which is the list that tells you what to keep stocked and what to stop making.
  5. Check the payment mix. Cash against UPI, card and online, which is the figure to compare with what is actually in the drawer.
  6. Export or print. Take the period out for your accountant rather than retyping it.

The comparison that changes decisions

A daily total on its own is a number. The same total next to the same day last week is information.

Because reports run over any date range, a Saturday can be read against the previous four Saturdays rather than against a Tuesday. A promotion can be measured over the days it ran. And a dish introduced last month can be checked against whether it actually sold or merely felt busy.

Item-level reporting is also what makes inventory worth keeping: what sold, read against what you bought, is where food cost stops being a guess.

What to look at, and how often

Daily reporting is worth two minutes at closing: takings, number of bills, and whether the payment split matches the cash in the drawer. That last check is the one that catches a problem while the evening can still be reconstructed.

Item-level reporting is a weekly or monthly question, not a daily one. A single day's best-sellers is mostly noise; four weeks of them is a menu decision. Looking at the item list too often tends to produce changes that respond to one busy Saturday rather than to a pattern.

Who this suits, and who it does not

It suits you if you currently total the day from a spike of bills, or you have never been able to answer which dish actually earns the most.

It suits you less if you need full profit-and-loss accounting with supplier ledgers and tax filing. Scan2Plate reports what you sold and what you bought; it is not accounting software, and it does not file returns. Most restaurants export from here into whatever their accountant uses.

Questions restaurant owners ask about sales reporting

Do I have to enter anything for reports to work?

No. Reports are built from bills as they settle, so the reporting is a by-product of billing rather than a separate task. If a service was billed on Scan2Plate, it is already in the figures before you open the reports screen.

Can I compare this month with last month?

Yes. Reports run over any date range, so you can read a month against the one before it, or a Saturday against the previous four Saturdays. Comparing like with like matters more than the raw total, because restaurant trade varies more by day of week than by month.

Does it show which items make the most money?

It shows best-selling items by quantity, and takings for the period. Margin per dish needs what the ingredients cost, which comes from inventory rather than from sales alone. Read together they answer the question; sales figures on their own answer half of it.

Can I give reports to my accountant?

Yes. Any period can be exported or printed, so your accountant receives the figures rather than a pile of bills. Scan2Plate does not file GST returns itself — it produces the sales and payment figures those returns are built from.
